Privacy Policy

Effective Date: October 7, 2026

This Arena Physica Product Privacy Policy (this “Privacy Policy”) explains how Arena Technologies, Inc. d/b/a Arena Physica (“Arena Physica,” “we,” “us,” or “our”) collects, uses, discloses, and otherwise processes personal information in connection with Arena Physica software, models, applications, interfaces, documentation, support, and related services that link to this Privacy Policy, regardless of product name, branding, version, or whether offered to individuals or organizations (collectively, the “Services”).

This Privacy Policy is intended for individual end users of the Services, including users who purchase a subscription directly from us. It supplements, rather than replaces, Arena Physica’s public website privacy policy. If you use the Services through an organization that has entered into a written agreement with Arena Physica (a “Customer”), Arena Physica processes personal information contained in Customer Data on Customer’s behalf under the applicable customer agreement and data processing addendum (collectively, the “Customer Agreement”). In that setting, Customer controls the relevant Customer Data, and the Customer Agreement controls to the extent it conflicts with this Privacy Policy.

1. Information We Process

Depending on how the Services are used, we may process:

  1. Account and profile information. Name, work email address, username, password or authentication information, role, organization, and account preferences.
  2. User Content. Information that a Customer or its authorized users submit to, make available through, or generate using the Services, including prompts, files, technical and business data, configurations, and AI-generated results. Customer Data may contain personal information if a Customer or user provides it.
  3. Usage and device information. Information that you submit to, make available through, or generate using the Services, including prompts, files, technical and business data, configurations, images, photos, video, voice inputs, transcripts, design files, and AI-generated results. If you use camera or voice features, User Content may include images of people, objects, or surroundings captured by your camera and transcripts of spoken interactions. User Content may contain personal information if you provide it. Certain Services may access locally stored files or locally installed software only when you select, authorize, or direct that access, and, where necessary for support or security, file-path or trace information generated by the Services.
  4. Session, usage, and credit records. The model or feature used, timestamps, token or other usage measures, credits debited, remaining balance, and related records used for billing accuracy, reconciliation, abuse prevention, and support.
  5. Payment and subscription information. Your selected plan, subscription status, billing history, credit balance, purchases, and payment-related identifiers or records. Our payment processor, Stripe, processes payment-card information directly; we do not receive or store full payment-card numbers.
  6. Support and communications information. Information contained in support requests, survey responses, feedback, and other communications with us.
  7. Information from integrations. Information made available through an integration that a Customer or authorized user connects to the Services, subject to the applicable integration settings and permissions.
  8. Camera and voice features. If you enable a camera feature, the Services may receive video or images from a connected camera. Video from a compatible camera applications is streamed over your local network to the applicable desktop application while the camera feature is active and is not recorded by the camera application. Photos captured by the Services may be stored with your project on your device, and a reduced-size copy may be transmitted through Arena Physica’s systems to the applicable AI model provider for processing. Camera content is not automatically blurred and may include people, objects, documents, or other portions of your surroundings. If you enable voice features, live audio may be transmitted directly from your device to the applicable voice-model provider. Arena Physica may facilitate that connection but does not receive or retain the live audio. The Services may retain a written transcript of your voice interaction as part of your chat history, and spoken requests may be processed in the same manner as other Inputs.

We do not ask users to provide sensitive personal information to the Services. You and Customer should not submit sensitive personal information unless the Customer Agreement and the Services are configured to support the intended processing.

2. How We Use Information

We use personal information to:

  1. provide, operate, secure, maintain, and support the Services;
  2. authenticate users, administer accounts, and enforce access controls;
  3. process Inputs and provide AI-generated or other requested Outputs;
  4. investigate, prevent, and address fraud, misuse, security incidents, and violations of law or our agreements;
  5. communicate about service-related matters, including support, updates, and security notices;
  6. calculate, administer, and reconcile subscriptions and credits;
  7. monitor performance, troubleshoot, and improve the reliability, usability, and security of the Services; and
  8. comply with legal obligations and protect the rights, safety, and property of Arena Physica, Customers, users, and others.

For Customer Data, Arena Physica processes personal information only as necessary to provide the Services, in accordance with Customer’s documented instructions, the Customer Agreement, and applicable law. Arena Physica does not use Customer Data to train generally available artificial-intelligence models unless the Customer Agreement expressly permits that use. For individual users, Arena Physica does not use User Content to train generally available artificial-intelligence models without the user’s express permission. Arena Physica may use aggregated and de-identified information, including usage metrics, to provide, secure, and improve the Services, provided that such information does not identify Customer or an individual.

3. How We Disclose Information

We may disclose personal information:

  1. To the Customer and authorized users. Customer administrators and other users authorized by Customer may be able to access information associated with Customer’s account, including account, usage, and Customer Data information, depending on their permissions.
  2. To service providers. We use vendors that help us host, secure, monitor, support, process payments, and operate the Services. They may process personal information only on our behalf and under appropriate contractual obligations.
  3. To integration providers. If a Customer or user enables an integration, we may exchange information with the applicable provider as directed by the integration and its settings.
  4. For legal and safety purposes. We may disclose information where we reasonably believe it is necessary to comply with law, legal process, or a governmental request; enforce our agreements; protect the security or integrity of the Services; or protect the rights, safety, and property of Arena Physica, Customers, users, or the public.
  5. In a corporate transaction. We may disclose information in connection with a merger, financing, acquisition, reorganization, bankruptcy, sale of assets, or similar transaction, subject to applicable law.
  6. With consent or at your direction. We may disclose information when you or Customer directs us to do so or otherwise gives consent.

We do not sell Customer Data or share it for behavioral advertising. We do not disclose Customer Data to an institution, employer, or other Customer except as directed or authorized by the Customer to which that Customer Data belongs.

To provide AI Features, we may transmit the User Content needed for a request to the model provider selected in the Services or required for the feature. Current model providers may include Anthropic, OpenAI, and other providers identified in the Services. Certain features use different transmission paths. For example, photos captured through camera features may be transmitted through Arena Physica’s systems to the applicable model provider, while live audio from voice features may be transmitted directly from your device to the applicable voice-model provider. Where supported, Arena Physica configures voice-model sessions to request that the provider not retain the live audio. If you enable web search or another integration, we may transmit the content needed for that feature to the applicable search, integration, or data provider. Those providers process information under their own terms and privacy policies and may change over time as we add, remove, or update available models and features. Do not use a model, search feature, or integration unless you are authorized to provide the relevant User Content to that provider.

4. Customer-Controlled Processing

If you use the Services through a Customer, that Customer is generally the controller or business for Customer Data, and Arena Physica is generally its processor or service provider. Customer determines the purposes for which the Services are used, which users have access, the content submitted to the Services, and the retention and deletion settings available under the Customer Agreement.

If you want to access, correct, delete, restrict, or object to processing of Customer Data, please contact the relevant Customer first. We will assist Customer with requests as required by applicable law and the Customer Agreement. We may respond directly where we have an independent legal obligation or where the request concerns information for which Arena Physica acts as an independent controller.

5. Cookies and Similar Technologies

We and our service providers may use cookies and similar technologies that are necessary to authenticate users, maintain sessions, remember preferences, protect against fraud and abuse, understand service performance, and improve the Services. You may be able to manage cookies through your browser settings, but disabling necessary cookies may prevent the Services from functioning properly.

Our public website and marketing activities may use additional cookies and similar technologies as described in Arena Physica’s public website privacy policy.

6. Data Retention

For Customer Data, we retain personal information for the period specified in the Customer Agreement or, if not specified, for as long as necessary to provide the Services to Customer, subject to applicable law. At the end of the applicable retention period, we delete or return Customer Data as required by the Customer Agreement, except where retention is required by law or reasonably necessary for legal claims, security, fraud prevention, or backup and disaster-recovery processes.

We retain account, support, security, and usage information for as long as reasonably necessary for the purposes described in this Privacy Policy, including to comply with legal obligations, resolve disputes, and enforce our agreements.

For individual users, we retain User Content and account information for as long as your account is active and as needed to provide the Services, unless you delete the content or account through available product controls or ask us to delete it. We retain session, usage, credit, transaction, support, security, and audit records for as long as reasonably necessary for billing, accounting, tax, legal claims, security, fraud prevention, dispute resolution, and enforcement of our agreements. We may retain information in backups for a limited period and where required by law. Closing an account does not require us to delete information we must or may lawfully retain for those purposes.

7. Security

We maintain reasonable administrative, technical, and organizational measures designed to protect personal information against accidental or unlawful destruction, loss, alteration, unauthorized disclosure, or access. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. International Transfers

Arena Physica is headquartered in the United States, and we and our service providers may process personal information in the United States and other countries where we or they operate. Where required by applicable law, our transfer of Customer Personal Data is governed by the applicable data-transfer provisions in the Customer Agreement, including any standard contractual clauses or other approved transfer mechanism.

9. Your Privacy Rights

Depending on where you live and the nature of our processing, you may have rights to request access to, correction of, deletion of, or a copy of personal information; to object to or restrict certain processing; to withdraw consent; and to appeal a decision regarding a privacy request. California residents may also have rights to know, correct, delete, and limit certain uses of sensitive personal information, subject to applicable exceptions.

To exercise a right regarding information for which Arena Physica acts as an independent controller, contact us at privacy@arena-ai.com. To exercise a right regarding Customer Data, contact Customer first. We may need to verify your identity and authority before responding. We will not discriminate against you for exercising applicable privacy rights.

10. Children’s Privacy

The Services are not directed to anyone under 18, and we do not knowingly collect personal information from anyone under 18 through the Services. If you believe a person under 18 has provided personal information to us in violation of this Privacy Policy, contact us at privacy@arena-ai.com.

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make a material change, we will provide notice through the Services, by email, or by another reasonable means before the change becomes effective. The “Effective Date” above indicates when this Privacy Policy was last updated.
